Dext vs Hubdoc vs Smart Document Capture

Dext vs Xero Smart Document Capture vs Hubdoc: Which is right for your business?

When you’re running a business, you want your admin to be as quick, easy and organised as possible. After all, your time is better spent running and growing your business than filing invoices or rummaging through receipts.

That’s where bill and receipt capture software comes in.

These tools help take the hassle out of bookkeeping. Simply snap a photo of a receipt, upload a bill or forward an email, and the software extracts the key information and sends it into your accounting system. Your paperwork is stored digitally, making it easier to keep organised and find what you need.

So, which one should you choose?

Here at DNA, we’ve been long-term fans and partners of Dext, and it remains our preferred solution for businesses looking to streamline their bookkeeping.

But technology moves quickly, and Xero is investing in its own document capture functionality.

Xero Smart Document Capture is being developed as the replacement for Hubdoc, offering an increasingly integrated way to manage bills and receipts directly within Xero.

While it’s not yet as sophisticated as Dext, it could be a great fit for businesses with straightforward requirements, particularly those wanting to keep everything in Xero without paying for an additional subscription.

Hubdoc, meanwhile, offers basic bill and receipt capture, but has limitations and is being superseded by Xero’s newer functionality. It’s no longer a product we would generally recommend for new setups.

Our view

  • Hubdoc: Basic bill and receipt capture, but limited functionality. With Xero moving towards Smart Document Capture, we wouldn’t generally recommend it for new clients.
  • Xero Smart Document Capture: A good fit for businesses with simpler bookkeeping needs that want everything in one place, without an additional subscription. Functionality is still developing, but Xero is investing in the product.
  • Dext: Our preferred choice for businesses with higher transaction volumes or more complex requirements. With advanced automation, expense claims, supplier statement reconciliation and more, it can save significant time and improve efficiency.
  • Which is best for you? There’s no point paying for functionality you don’t need. Equally, a cheaper solution isn’t necessarily better value if it means spending hours doing things manually. We’ve reviewed the options and put together a handy comparison table to help you understand the differences. At DNA, we work with both Dext and Xero’s document capture tools, so we can help you choose the right solution for your business, your needs and your budget.
